RESIDENCE HALL CLOSING MEMO
Academic Year 2024-2025

Dear Residents,

We hope that you've had a fun and productive semester! It’s been a pleasure spending this time with you and we hope that you’ve enjoyed your stay. As we wind down the semester, we want to share the following memo with you. It outlines pertinent information and tips for all current residents to ensure a smooth move out! Additional information can be found in the Move Out Guide.

24 Hour Quiet Hours Policy 澳门金沙投注_任你博-官网

To help our communities prepare for upcoming finals, 24-hour quiet hours will begin as outlined below. Please note dates and information regarding this policy so you don’t forget!

• Date Range: Sunday, May 4th at 12:01 AM and will continue until commencement ceremonies on May 20th
• Purpose: This policy will help us to be respectful of your fellow students that live on campus as they are wrapping up their  exams and projects. Please keep noise levels to a minimum and be courteous during finals.

Please read the information below as it will help you to have a smooth move-out process.

• Housing officially closes for all non graduating students at 12:00pm (noon) on Monday, May 12, 2025.
• Housing officially closes for seniors and those participating in 澳门金沙投注_任你博-官网 at 12:00 pm (noon) on Tuesday, May 20, 2025.

Please note: this means that you are out of your room, it is cleaned and locked behind you, and your keys have been turned in by noon on these dates. Any keys turned in after are considered late check-outs. 

Preparing for Move Out

Your RA will be arranging a closing meeting to take place in your community. We urge you to attend your floor’s closing meeting, so your RA can provide you with important information and guide you into a smooth, easy move-out!

Make sure to complete the change of address form, available online at www.usps.com and make sure all of your packages go to your permanent address! If you do not change your address, all of your mail and packages will go back to its sender via Postal and Print. 

Clean your apartment completely (a checklist will be provided during the closing meeting and in the Move Out Guide). Do not leave any items in the hallway, lobby or in your apartment. 

Dumpsters will be available outside your residence hall to assist with trash disposal beginning  on the following dates:

• Wednesday, April 30th - Founders Green & Leake Hall
• Friday, May 2nd - Gateway
• Friday, May 9th - Meyerhoff House

Carts are available at each front desk for you to utilize when moving out. Please be mindful of your fellow community members who are also utilizing this resource - extended use of the cart will limit how many of your peers can use this resource.

Students are permitted to have guests assist them with their move out beginning Monday, May 5, 2025. Feel free to bring as much help as you think you will need! Just make sure your guest checks in with Campus Safety and plan in advance. All guests must have a valid government issued identification card. As a reminder, students are responsible for their guests while signed into the residence hall. For the safety of our residential communities, guests, including families, are not to be left in your apartment when you are not present.

Move Out Day - The Final Steps

The Closing Checklist will be reviewed in your upcoming mandatory floor meeting.  After all of your things have been removed from your entire apartment and you have completed the closing checklist, you are ready for the next steps below:

Step 1: Key Return - Each student must return their apartment key and mail key. 

Beginning May 2nd, there will be a key drop box in the lobbies of The Gateway, Meyerhoff House and Leake Hall. There will also be a drop box in the Office of Residence Life on the 2nd floor of Latrobe. With each drop box will be a stack of yellow envelopes for residents to place their keys in. On the envelope, you will fill out the information below and place your room and mail keys inside, and sign and seal the envelope:

• Name
• 澳门金沙投注_任你博-官网 ID
• Date & Time
• Building
• Room Number
• Room Letter
• Key Code (can be found on the back of the key base)
• Be sure to indicate which keys are present (Room, Mailbox, or both)
  
  • If you misplaced/lost a key, please be sure to initial in the designated space
• Remember to sign and date the bottom of the envelope!

Key Return | Potential costs associated with lost keys

Students are issued a room and mailbox key for use throughout the academic year. Students are expected to return their keys before they depart. Students who do not return their key will result in on or more of the following replacement fees:

• If your apartment key is not returned you will be charged a replacement fee up to $250.00.
• If your mail key is not returned you will be charged a replacement fee up to $25.00.

Step 2: Complete the Departure Form

After you have dropped your keys in the box, locate the QR code on the bottom of the Checkout Instructions sign and complete the form. This form must be completed in order to confirm that you have departed.

If you will be returning to 澳门金沙投注_任你博-官网 in the fall, regardless of resident/commuter status, make sure to hold on to your 澳门金沙投注_任你博-官网 ID. You will be able to use the same ID when you return for the fall semester! Students should not place 澳门金沙投注_任你博-官网 IDs into their Key Return envelope or they will be discarded.

Final Apartment Inspections

The Office of Residence Life Staff will enter all units to complete a final inspection once all students have departed on May 12th. Please do double checks and make sure everything is clean!

If there are damages discovered in bedrooms or common spaces, you will be notified via email by May 31st if you are found responsible for the damage and your student account will be updated. 

All check-outs at the end of the year will utilize the Express Check-out Method; there will not be a process for appeals of any room damages found in the units. We suggest that you make notes of any damages, place any work orders, and plan with your apartment-mates regarding the cleaning process. We wouldn’t want students to be responsible for something you did not do!

Emergency & Last Minute Extensions

If you have not been approved for summer housing or a late departure by Monday, May 12th, it is the expectation that you still will be moving out. If you remain in your room past 12:00pm noon, one of the following charges will be added to your account:

1. 48 Hour Contract Extension: $100 
2. Summer Housing: $250

Please reach out to the Office of Residence Life in advance if you foresee yourself needing additional time to depart.

Summer Housing

Thank you for your interest in residing in Summer Housing at 澳门金沙投注_任你博-官网!

The 澳门金沙投注_任你博-官网 Residential Community will be made available for students (both undergraduate and graduate level) at 澳门金沙投注_任你博-官网 who are taking summer courses, are employed at 澳门金沙投注_任你博-官网, or are a part of a 澳门金沙投注_任你博-官网-related program or internship.

a 48 hour contract extension is available for emergencies only and will be reviewed on a case by case basis. If a student is approved for a contract extension, their apartment must be ready for inspection on Monday, May 12, 2025. 

The Summer Housing period will be between 12:00pm (noon) on Monday, May 12, 2025 and 12:00pm (noon) on Sunday, July 27, 2025.

• Summer Housing will primarily be for students who are enrolled in Summer Courses. However all students are welcome to apply.
• Summer Housing will be assigned on a first-come, first-served basis.
• Summer Housing application has a $75 non-refundable application fee.
• Summer Housing will cost $250 per week for the length of stay. For billing purposes, Summer Housing weeks begin on Monday and end on Sunday.
• At the moment, the Office of Residence Life is considering the end of Summer Housing to coincide with the last day Summer Courses are offered.
  • Students who are enrolled in courses and have a housing assignment for the Fall 2025 semester will be permitted to extend their summer stay through the start of the Fall 2025 semester.
